KEY RESPONSIBILITIES
Champion of Client Care: From greetings and bookings to matching clients with therapists, your eagerness and dedication in supporting their journey shines through.
Communication Flow: The world is moving faster than ever, but we will always meet our clients with courtesy and respect. You will be addressing phone calls, emails, and face-to-face inquiries in a friendly, prompt and professional manner.
Flexible Availability: This is a permanent, part time position which will require weekend and/or evening availability during peak times.
Client Data Management: Keeping track of new or updated information is a vital step to serving our clients better. You will be setting up client files, sending forms and reminders, managing updates quickly and accurately, and ensuring our therapists are kept in the loop.
Payment Processing: You will be proficient in making payments, utilizing direct billing software, issuing receipts and keeping accurate records for clients and administrative team.
General Admin Duties: Every task, no matter how small, is essential for helping our team do their job, and our clients find the support they need. Printing, copying, scanning, faxing, filing - it all has a purpose and a place!
Office Tidyness: Is the coffee bar running low? Have supplies been stocked? Could the office use a bit of TLC? You will monitor the office and facilities, supplies and expendables, and perform light cleaning around all high-traffic areas, so new and returning visitors will always feel welcome and comfortable in our space.
Website Management: Managing basic-intermediate website tasks such as uploading blogs, updating team bios, handling inquiry form submissions and price updates.
Marketing Support: Supporting the planning, writing and scheduling posts and/or reels across the Viewpoint Calgary social accounts (Instagram, Facebook, LinkedIn). Monitoring and responding to comments or inquiries. Re-sharing therapist posts or media to provide exposure. Ultimately ensuring a positive online presence and reputation is maintained.

Experience with client management & booking software is also considered an asset.
Excellent working knowledge of social platforms (Facebook, Instagram, LinkedIn, Youtube etc.) with a passion to create content based on our existing Social Media Playbook.
SKILLS & EXPERIENCE
Candidates must be proficient in Microsoft Office Suite, Google Suite, and macOS.
Experience with office networks, cybersecurity solutions, and IT configurations will be considered an asset.
As our care team performs the majority of their daily tasks on a computer, candidates must be able to work extended hours in front of a screen in a fast-paced administrative environment.
Past experience managing social media or marketing-related tasks is considered an asset.
Experience with client management & booking software - and/or willing to learn our OWL Practice platform.
Previous reception, healthcare, medical administration experience is a tremendous asset.
